The Role

The primary function of the role will be to ensure that the Programme Management Office procedures and processes are carried out correctly across CML’s growing portfolio of projects. You will liaise with programme managers and project leads to help run projects efficiently and keep project information up to date and easily accessible. You will be running administrative activities across multiple company projects.

Responsibilities will include maintaining project folders, providing the correct forms and templates for project tasks and meetings, taking minutes, watermarking documents, updating financial and resource trackers, and the execution of shipping and sales processes. You will be also be actively involved in continuous improvement of processes.

The Person

We are looking for an experienced administrator to join our PMO team.

You will help the team champion good process and organisation within projects. You will enjoy working with documents, have a good eye for detail and a high level of accuracy. You will be proficient in the use of Microsoft Office, specifically Word, Excel and PowerPoint. You will be responsible for producing neat, concise minutes and actions. A high level of experience in numeracy, updating and improving spreadsheets, plotting graphs, checking for errors is essential. The role reports to the PMO Manager.

Main responsibilities

  • Maintenance and distribution of CML procedures and processes

  • Maintenance of project financial and resource trackers

  • Carry out Shipment and Sales processes: Forms, PO’s, Invoices

  • Compilation of standard reports and meeting minutes

  • Watermarking documents

  • Keeping track of schedules and request updates in a timely manner

  • General administration duties

Skills, Qualifcations and Experience: 

  • Proven experience as an Office Administrator or similar role
  • Knowledge of office policies and procedures
  • Experience with office management tools (MS Office - Excel, Word, Outlook Calendar, PowerPoint)
  • Excellent organisational and time-management skills

Self-motivated, able to prioritise activities and allocation of resource and have excellent problem-solving and decision-making skills.

Experience of working in a fast-paced, high-pressure environment, with the ability to assimilate information and requests from multiple sources is essential.
